Our Process

01 — Discovery & Planning

Every project begins with understanding your event goals, exhibit scope, internal team structure, and operational needs.

During this phase, we establish project expectations, identify key timelines, and align logistics requirements early to create a smoother execution process later.

This phase may include:

02 — Coordination & Preparation

Once planning is established, Eventra begins managing the coordination process across vendors, partners, and internal teams to keep all moving parts aligned leading up to the show.

This phase focuses heavily on organization, communication, and proactive execution management.

This phase may include:

  • Vendor and exhibit partner coordination

  • Exhibitor checklist and deadline oversight

  • Shipping and freight coordination

  • Service order management

  • Hotel and travel logistics support

  • Production scheduling and install planning

  • Team updates and operational communication

03 — Show-Site Execution

As the event approaches, Eventra oversees the operational execution process to help ensure installations, logistics, and vendor coordination run smoothly on-site.

For larger projects, Eventra may provide direct on-site operational support throughout installation, active show days, and dismantle.

This phase may include:

  • Install and move-in oversight

  • Coordination with labor and vendors

  • Real-time logistics management

  • Operational problem solving

  • Show readiness verification

  • Dismantle and move-out coordination

  • On-site execution support

04 — Post-Show & Ongoing Support

Following the event, Eventra helps coordinate post-show logistics and operational follow-up while preparing for future events when applicable.

For clients managing multiple shows annually, this phase supports continuity and long-term operational organization across the full event calendar.

This phase may include:

  • Return shipping coordination

  • Damage reporting and post-show follow-up

  • Inventory and material tracking support

  • Operational review and process refinement

  • Planning support for upcoming events

  • Ongoing multi-show logistics partnership
